Race Coordinator
Mahindra Racing

Mahindra Racing is a motor racing team based in Banbury, United Kingdom, competing with an Indian racing license. The team is currently competing in the electric FIA Formula E Championship since the inaugural season in 2014.

 

Role Purpose
The Race Team Coordinator is responsible for the operational delivery and coordination of race event activities, ensuring the team is fully prepared both at the factory and trackside. This role supports logistics, garage operations, team wellbeing, and compliance to enable smooth and professional race event execution.


Key Responsibilities
Factory-Based Operations
• Manage driver and mechanics’ technical kit, including ordering, inventory control, replenishment, washing, and event packing. Coordinate with the Partnership Managerregarding VIK contractual requirements and visual approvals.
• Manage team kit selection, ordering, distribution, and inventory control, maintaining accurate records of sizing and special requirements.
• Support the Team Manager with accreditation, catering bookings, team services, and dry ice orders, maintaining detailed cost and headcount records for budget and environmental tracking.
• Assist in planning race garage layouts.
• Support pre-event RACI meetings to ensure departmental readiness and task completion.
• Support and execute seasonal garage turnaround and improvement projects.
• Assist with load planning for trucks and freight containers, including full inventory documentation of equipment and spares.
• Coordinate late freight consumables shipments.
• Provide support to goods inward and stores as required.


Race Event Responsibilities
• Complete shipping invoices and prepare freight labels and seals between events.
• Ensure all team services are delivered and positioned correctly.
• Lead garage set-up and pack-down activities.
• Maintain catering areas, overall garage presentation, and waste management standards.
• Manage food deliveries, snacks, and drinks for the team, including grocery purchasing when required.
• Coordinate event catering arrangements.
• Manage onsite transfers and liaise with travel agencies; act as the main point of contact for team travel-related matters.
• Proactively identify opportunities to enhance team wellbeing at track.
• Support the Chief Mechanic with spare parts management.


Logistics & Compliance Support
• Act as Company Dangerous Goods Representative for air, sea, and road freight movements.
• Serve as KC application responsible person.
• Prepare detailed export documentation, including weights, dimensions, serial numbers, and manufacturing details.
• Generate ATA carnet applications for race movements.
• Complete supplier-to-supplier shipment invoicing.
• Coordinate late freight and hand-carry shipments.
• Provide pre-event pick lists ensuring minimum stock levels; coordinate with Chief Mechanic if stock is unavailable.
• Process post-event returns to the UK, ensuring correct departmental routing (repair, testing quarantine).
• Support external shipping consultants and logistics suppliers with detailed shipping instructions and documentation control.

Additional Responsibilities
• Operate company forklift when required.
• Drive company van when required.


Skills & Experience
• Previous experience in a similar role within Formula E, Formula 1, Formula 2, Formula 3, WEC, or equivalent motorsport is essential.
• Proactive, hands-on approach with strong team spirit and “can-do” attitude.
• Ability to work long and unsociable hours, including approximately 15 race weekends per year.
• Willingness to appear in team media content and social channels, including potential TV appearances.
• Strong organisational skills with the ability to work under pressure in a high-performance environment.
