Job Title: Team Coordinator  

Reporting To: Sporting Director

Position Type: Permanent. Full Time

Location: Frant, Kent   

Travel: All Races   

 

Overview

We are looking for a highly organised and proactive Motorsport Team Coordinator to support the smooth operational running of our race program. Reporting directly to the Sporting Director, this role provides day-to-day support to ensure the team is prepared, informed, and efficiently supported both at the workshop and at events around the world. The ideal candidate will be a strong communicator, a forward-thinker, and able to operate in a fast-paced and dynamic motorsport environment.

 

Key Responsibilities

Travel & Logistics

  • Manage and coordinate all team travel arrangements, including flights, accommodation, hire vehicles, and itineraries.
  • Ensure compliance with visa requirements, customs documentation, and international travel regulations.
  • Maintain up-to-date travel and event schedules for the team and stakeholders.

Event Coordination

  • Support pre-event and post-event planning, administration, and reporting.
  • Liaise with internal stakeholders, suppliers, and team personnel to ensure seamless event operations.

Support to the Sporting Director

  • Work closely with the Sporting Director to help manage team priorities, schedules, and operational obligations.
  • Provide administrative and organisational support to enable the Sporting Director to focus on performance, leadership, and strategic objectives.
  • Assist in preparing reports, communications, and documentation as required.

Team Administration

  • Maintain schedules, deadlines, and task lists to keep the operation running efficiently.
  • Support with budget tracking, invoicing, and expense management.
  • Prepare documentation, reports, and internal communications.

Communication & Relationship Management

  • Act as a primary point of contact for all travel requirements for team members and drivers.
  • Clearly and effectively disseminate information to keep everyone aligned and informed.

Requirements

  • Experience in a similar role with an emphasis on travel planning
  • Strong organisational and planning skills with the ability to prioritise tasks and manage multiple deadlines.
  • Ability to maintain confidentiality and handle sensitive information professionally.
  • Capable of working independently without constant supervision and confident in making practical decisions on the ground.
  • Comfortable working in a fast-paced environment where plans can change at short notice.
  • Professional communication skills with the ability to represent the team positively to partners, suppliers, and event personnel.
  • A flexible mindset with the willingness to work non-standard hours, including evenings, weekends, and long race event days.
  • High level of computer literacy
  • Willing and able to travel internationally for extended periods, including weekends and holidays when required.
  • Valid passport and ability to meet travel eligibility requirements.

 

Please note that this is a fulltime position based at our workshop in Frant, Kent, at least 3 days per week.
