Office Assistant

full time temporary contract for 6 - 12 months

 

Mahindra Racing is a motor racing team based in Banbury, United Kingdom, competing with an Indian racing licence. The team is currently competing in the electric FIA Formula E Championship since the inaugural season in 2014.

 

Job Description
Purpose of the Role:

The role will be reporting into the Travel and Office Manager onsite at Mahindra Racing, Banbury. Assisting mainly with monitoring and allowing all access to site, Meet & Greet all visitors and provide refreshments as required and all-round administration support within the facilities and travel domain. The successful person will maintain a positive and friendly company image by acting as the first line of contact to visitors, customers, and vendors in person, online, and via telephone.

 

Key Accountabilities:

Reception

  • Answer all calls from main gate and grant access
  • Meet & Greet all visitors and guests via main reception
  • Guide site workers to relevant areas of the building

 

Office

  • Assist in H&S training records and upkeep
  • Organise relevant H&S training courses
  • Organise new starter documentation and information
  • Ensure all Team Principal work and conference areas are tidy and well stocked.
  • Occasional diary management for Team Principal in the absence of the Travel Manager if required
  • Manage VIP guests during factory visits
  • Manage credit card reconciliation for Team Principal and CFO
  • Ensure meeting notes are taken when required
  • Complete other general office duties as and when required

 

Facilities

  • Arrange personnel trainer for on-site gym activites
  • Manage attendance records for gym access
  • General upkeep of gym facilities and tidiness
  • Assist with any facility repair request as necessary and see through to completion

 

Knowledge, Skills and Experience:

Essential

  • Previous administration experience in similar role

  • Effective written and oral communication skills in English
  • Works methodically with attention to detail
  • Leads by example, can and will motivate his/her team & peers
  • Practical approach by using rigorous logic and methods to solve problems with effective solutions
