Mahindra Racing is a motor racing team based in Banbury, United Kingdom, competing with an Indian racing licence. The team is currently competing in the electric FIA Formula E Championship since the inaugural season in 2014

 

Role Overview:
We are seeking a highly skilled and experienced Executive Assistant to provide comprehensive support to our CEO at Mahindra Racing. This role requires exceptional organisational abilities and strong communication skills.


Main Responsibilities:

  • Calendar and Schedule Management: Efficiently manage the CEO's calendar, including scheduling meetings, appointments, and travel arrangements. Prioritise and coordinate commitments to ensure optimal time management.
  • Communication and Correspondence: Act as the primary point of contact for internal and external stakeholders, handling all incoming and outgoing communications on behalf of the CEO. Draft and proofread emails, memos, reports, and other documents as needed.
  • Meeting Coordination: Arrange and coordinate meetings both internally and externally. Prepare meeting agendas, take minutes, and distribute relevant materials. Ensure seamless logistics and follow-up actions.
  • Travel Arrangements: Plan and organise domestic and international travel itineraries for the CEO, including flights, accommodations, ground transportation, and visa arrangements. Anticipate and address any potential travel-related issues.
  • Project Management: Collaborate with cross-functional teams to support the CEO in managing various projects. Track project milestones, deadlines, and deliverables. Provide regular updates and reports on project progress.
  • Confidentiality and Discretion: Handle sensitive and confidential information with the utmost professionalism and discretion. Maintain a high level of confidentiality in all interactions and communications.

 

Qualifications, skills and experience required:

  • Proven Experience: Minimum of 3 years of experience as an Executive Assistant supporting C-level executives, preferably in the motorsport industry. Demonstrated ability to handle a wide range of administrative and executive support tasks.
  • Exceptional Communication: Excellent written and verbal communication in English, French would be advantage; with the ability to effectively interact with individuals at all levels. Strong proofreading and editing abilities.
  • Organisational Skills: Outstanding organisational and time management skills, with the ability to prioritise tasks and meet deadlines in a fast-paced environment. Attention to detail is crucial.
  • Discretion and Professionalism: Demonstrated ability to handle confidential information with integrity and professionalism. Always maintain a high level of discretion and confidentiality.
  • Technology Proficiency: Proficient in using productivity tools such as Microsoft Office Suite, calendar management, and virtual meeting platforms. Familiarity with project management tools is a plus.
  • Adaptability and Initiative: Ability to adapt to changing priorities and work independently with minimal supervision. Proactive mindset with a willingness to take initiative and anticipate needs.
